At least two (2) working weeks notice is required for scheduling Public
Safety for any event. This is especially the case the last week of
February through the beginning of March during the Delaware State High
School Basketball championships.
- Collecting Funds: In all circumstances where an RSO is collecting funds at an event on campus at least one aide must be hired for the event. The security aide is to be stationed at the money collection site and then escort the person who makes the deposit of the collected funds.
- Athletic Facilities: Pearson Gym, Carpenter Sports Building, or Fields staffing is determined by the Athletics Department when the facility reservation is made.
- Pearson Hall Auditorium, Mitchell Hall and Roselle Center for the Arts: Staffing is determined by the Director of Center for the Arts when the facility reservation is made. (Except for Late Night Events, see below.)
- Trabant, Perkins and Academic Spaces: Staffing is determined by the Events Services Office and/or Activities & Programs Office of the Student Centers. (Except for Late Night Events, see below.)
- Off-Campus Events: University of Delaware Public Safety staff are not required.
Late Night Events: Safety & Security Policy
The first priority for all student events is the safety and security of persons and property. Recognizing this need, the Department of Public Safety in cooperation with the University community will ensure that late night events are adequately staffed and security plans are made for each facility. Listed below are factors that define a "late night event".
- Event scheduled to end later than midnight.
- Open to the public and admission at the door.
- A DJ, band, or band concert is the primary activity of the event
- The facility being used has a capacity of 300 or more
- Staffing for these events is determined by contacting the Public Safety Office.
The following standards will be applied to late night events:
- A safety meeting will be held with Public Safety and the event sponsor the week of the event.
- Cooperation and understanding between security and sponsors are essential for making safety decisions.
- Attendance must not exceed the capacity of the facility being used. This includes sponsors, performing artists, DJ, and vendors.
- Minimum staffing levels and security procedures have been established for late night events.
- Patrons must have a college ID or be at least 18 years of age with a valid picture ID in their possession for admission. Patrons will be issued a wrist band. Sponsors and vendors will be issued wrist bands and access badges for easy identification.
- Predetermined lighting levels are made for each event and will remain constant throughout the night.
- Sponsors will assist Public Safety in clearing the facility. Sponsors are responsible for cleaning all trash inside and outside of the facility.
- Money collected the night of the event must be deposited that night. An escort will be provided to the deposit site.
- The Building Supervisor will monitor the event and maintain the predetermined lighting levels.
- An After Action Report will be completed by the Detail Commander and Building Supervisor. Copies will be sent to the sponsoring organization and this office.
To Order This Service
- Verify that your group will have sufficient funds to pay for this service by contacting your organization treasurer. Services are billed to student groups through their internal account.
- Submit this form no less than 2 weeks in advance of date needed, or Public Safety will not be obligated to staff the event, and your event will be cancelled.
- Services are not confirmed until a request is completed in the Activities & Programs Office, and received by the Service Department.
- The Associate Director for Activities & Programs MUST approve all requests for service.
